The Annual Meetings Secretariat has negotiated special rates with selected hotels. Delegates and participants are urged to make reservations in one of these hotels and to include the name of their selected hotel in the registration form to facilitate transportation arrangements from the airport to the hotel. For further details on reservations, discounted rates and deadlines, please check the below link for each hotel. After the deadline, room availability at the negotiated rates may not be applicable.

- No-shows will incur a one-night penalty charge.
- Reservations may be cancelled free of charge until 1 June 2026.
- Any cancellation made after 1 June 2026 will incur a one (1) night no-show charge.
Radisson Hotel Baku
Located approximately 2.1 km from the Baku Convention Center (6–8 minutes by car).

- Rates include buffet breakfast.
- Rates are inclusive of 18% VAT and the municipality tax of AZN 1.30 per person per night.
- If the AZN–USD exchange rate changes by more than 5%, the hotel reserves the right to adjust the agreed rates accordingly.
- Free cancellation is permitted up to 14 days prior to arrival.
- Cancellations made after this period, as well as no-shows, will incur a one-night stay penalty including applicable taxes.

Does IsDB cover travel or accommodation costs?
No. The IsDB does not cover travel or accommodation expenses for participants.
Is there a reimbursement policy for emergency cancellations?
There is no reimbursement policy. Please consult with your respective travel providers for information on their cancellation policies.
How can I book a hotel room for the Annual Meetings?
A list of the official hotels, including reservation details, negotiated rates, and booking deadlines, is available on the Annual Meetings website. To benefit from the negotiated rates, participants are advised to complete their reservations before the indicated deadlines. Please note that all hotel reservations are made on an individual basis and remain the sole responsibility of the participant.
Does IsDB handle hotel reservations?
Accommodation arrangements are made directly by participants with the official hotels listed with the official hotels listed on the Annual Meetings website. Information on rates, reservations, booking deadlines is available through the hotel links provided. After the deadlines, room availability at negotiated rates may be unavailable.
